Change CPT code in ledger

Sometimes I want to change the CPT code right before I save and add for submission to insurance. It would be nice if I could do that on that screen instead of having to delete the invoice, go back to calendar, change the CPT, and recreate the invoice.

Totally agree. It's a ridiculously clunky process to delete and reschedule every time.

when I first create a new invoice, the drop down for the cpu codes is grayed out and I cannot change it, if I save it, then I can, but it would be great if it was just adjustable from the beginning, just like the money and date and everything else.

If I end up spending more or less time with a client than I was planning, I have to change the cpu code for billing. It would be great if I could just do that from the ledger as that is when I usually remember I need to do it, instead of having to go back to the calendar and update it there and then refresh the ledger. it would just help if we could do it in both places.

I want to be able to put the CPT code in separately. So that it is not attached to the appointment or the appointment time. This will prevent me from having to redo the appointment anytime the code needs to be changed. I don't use the calendar or put in my appointments. I only use theranest for the health record. Because I have to put in the appointment to have a code attached, my clients then can see appointments in their portal that are possibly duplicated, submitted late, or changed later. Several clients have inquired about what they are seeing and are asking me about it.

I'm often in situations in which it is necessary to change the CPT code of an appointment unexpectedly, sometimes after the appointment has begun, e.g., family join what was supposed to be an individual 90837 session. The existing system that requires creation of a new appointment in order to change the CPT code creates workflow issues, especially when this occurs with a Telehealth pane open and given the new appointment isn't automatically set at the same time. It would be beneficial to be able to change CPT codes from within the progress note editing screen without having to go through the process of creating a whole new appointment, or, at the very least, have the new appointment automatically be scheduled at the same time.

Additionally, I have now found out that I cannot change the CPT code for a telehealth session without first unsigning the signed Progress Note attached to the session. This takes us out of compliance for noting requirements that require that we sign the note within a specific amount of time after a session.

Yes, this. I have yet to be able to resubmit a claim without getting tech support involved. There should be a way to access the area to include resubmission codes and original claim numbers fairly easily. It's not as much a "rarity" to have to resubmit with an original claim number for a correction as this page would have you believe: https://help.theranest.com/en/articles/3543679-apex-resubmitting-claims I need to be able to do this without involving tech support each time.

CPT codes need to be updated and resent to the insurance agency all the time. We need a streamlined way of resubmitting this. Right now, the process is very cumbersome, requiring that we go into the ledger, put in a placeholder CPT code, go to the appointment to change the actual CPT codes (which confuses the system and makes Apex think that it is a whole different session), then go through the whole submission process again because of the aforementioned confusion with Apex. I also have to delete the previous claim from my records because it won't let me resubmit the previous claim, I have to make a new one.

You can just X out that line item and re-add it manually within the ledger (it wont appear on the calendar anymore but it is an option).
