Refund or negative payment options

I've found it difficult and messy to try to track or even enter any situations in which client or insurance has overpaid and I need to issue a refund. I would like to accurately enter the amount which insurance has paid, even if it is over the remaining balance. Perhaps we could have the option to then apply the overage amount as a refund to either client or insurance. Also, there are times when insurance will retract a payment - it would be great to be able to enter a note somewhere with payments or be able to document this without totally deleting a payment.

    A feature that allows us to enter an adjustment as a negative / credited back amount.

    It would be super helpful for our accounting department to see when cash or checks are refunded (i.e. unapply payment to invoice and it'll show as a credit the the "Apply to Invoice" and "Refund" buttons next to it). If a user selected "Refund" for the cash or check payment, a pop-up would display and request how the refund was issued (i.e. cash, check with check #, etc.). Support stated that the best way to do this now is to create a "Refund" service type and issue the refund that way. Unfortunately, this inflates our Billing Reports

    Refunds (including Insurance takebacks) are very common and I don't understand why this software does not allow for manual entry. I would highly suggest this feature as it could really be a deal breaker to find a PM system with the ability to efficiently track financial transactions.

    When applying refunds processed via check, do not delete the payment. We need to be able to keep a record that shows who, when, and how clients were refunded for tax and accounting purposes. There could be a Refund function like write-offs that could then be tracked in reporting.

    Yes, and then how do we account for this in our payroll report? Refunds and charge backs are not available reports.

    Providing specified amount refunds should be a standard function and it makes no sense that is not a feature. This is something that would greatly influence me using another platform as it bleeds into taxes and accounting issues.

    I agree with all comments regarding refunds/tracking/entering...should be able to track insurance refunds. I currently use 4 other systems and TN is the ONLY system refunds are a nightmare!! I am currently talking to the providers to switch from TN to another system, this being one of many reasons.

    It would be great if we were able to input negative payments and credits. This allows us to keep an electronic record of all processes. Negative Payments For example: Client's EOBs do not come through theranest, therefore biller has to manually post payments. Client's EOB stated payment was $52.00 and the client was responsible for a $15.00 copayment. I applied this paymen tot the clients account. About a week later, an EOB arrived, and this EOB was for a NEGATIVE -$52.00 to reverse out that original payment, and then noted a $67 payment. The insurance decided to cover the clients copayment. Since i was manually posting this payment, i could only post the $67 payment and i made a note on the payment, however, for tracking purposes, it would be great if i could have posted the negative payment as well. For posting CREDITS: Clients at times send in payments whether via check, cash, zelle, credit card etc. Especially right now because of Covid, many insurance companies decided to client copayments. In situations where a payment was received from the client, it gets posted the the account and would remain as a credit balance and they can draw down from that balance, which is fine, however in some circumstances the credit balance is refunded to the client and not left on the account. There should be a way for us to post a negative payment with a note stating that the credit was issued to the client. Of course, we keep notes on paper and in their file, but it would be great if theranest would open that feature so all records are electronically kept in the system.     I agree that it would be great if a feature to include refunds completed outside of Theranest. I happen to use SquareUp for payments, and issue refunds when clients have made payments online. I have no way of noting when insurance has issued a full payment (happening more often with COVID 19 mixups) and then I am forced to refund the client without deleting the original payment they provided.

    I am disappointed Theranest doesn't offer a succinct way to track refunds. This challenging season with Covid & inconsistent information from insurance companies and billing/ payment processes makes a logistical nightmare to keep a clean ledger. The fact that Theranest doesn't have a smother process for issuing refunds to clients, is a major service gap. I hope this issue can be rectified soon, so I can remain a loyal customer.

    Practices have been voting and commenting on this since 2016 or earlier. When will Theranest be making changes and listening to their customers? We need a change in the way that refunds are made and tracked. Specifically credit card refunds. How can Theranest keep up with the ever growing market if this simple change for provider can not be met?

    Is there any update on this? It is ridiculous the amount of work involved in accurately tracking refunds, recoupments, and overpayments. In order to uphold our ethical codes, we need to maintain accurate bookkeeping. It would be great to have an EHR that supports this. Ideally Theranest would allow for entry of negative amounts. This would simplify our entries.

    This is a vital need for my practice. As it exists now, I have to complete delete or alter a record of a payment in order to create a non-credit-card-refund. I need to be able to accurately and completely track refunds to clients rather than eliminating them from the client record.

    It is simply inexcusable that an office management software does not offer an accurate accounting method or accurate Statements for patients. To split checks received among "invoices," resulting in a statement that only shows a partial dollar amount for a check received this month is CRAZY. PLEASE FIX YOUR STATEMENTS! And, yes, we need to make partial refunds, post CREDITS to accounts that are NOT payments and other very basic accounting functions.

    We need a way to deal with payments that have to be refunded and with bounced checks. Overpayment: Right now, if someone overpays -- example:the insurance verification said they had a copay and they paid it, but when the claim was processed, no copay was required -- there is no good way to record what occurred. We end up deleting the payments altogether and issuing a check to refund the client, but then have no record in Theranest to indicate what happened. As far as Theranest is concerned, no payment was ever made and no refund ever issued. Can you create a "refund" button alongside the "Write Off" button? Bounced Checks. Likewise, there is no way to track bounced checks. The client pays, the check bounces, and rather than being able to document that (and add the bounced check fees we may have been charged by our bank as a charge to the client) again, we have to just delete the transaction like it never happened and the Theranest record is incomplete/inaccurate since it looks like no payment was ever made. Is there some way there could be a button that acts like the "Add Adjustment" button, but for payments that are not insurance?
