Allow organizations to make certain demographic data fields mandatory when a client is setting up their portal account.

Certain form elements should be allowed to be required to be filled by the client. This is especially important for insurance billing as Legal Gender, Address, Legal name, and Phone number are all required by insurance for the claims filing.

I strongly recommend that clients be prevented from moving forward in completing intake documents until they first complete demographic information. I've had a few clients submit their intake paperwork without completing any demographics. In the interest of time, I took that information over the phone.

I am consistently encountering situations in which clients do not complete forms when registering in the client portal. Based on your instructional video, it appears that there are no additional prompts beyond the point clients initially enter demographic info. Additional prompts around completing forms and submitting them could resolve this issue, or streamlining the process to auto fill demographic info from face sheets so there are fewer steps for clients to complete in the registration process, especially when dealing with varying levels of computer literacy.

my clients get frustrated when the portal times them out while trying to complete the intake forms. Please allow them to save partial info rather than forcing them to submit or start over when interfacing with intake docs in the Client Portal.

I would like to see a template that new clients could use to populate their insurance info. OR, I would like to see it be easier/ more obvious where and how the can enter this into the portal when they are entering their details and basic info.

Hello! Noticing this stuff is a product of my wife being a local User Experience design guru, so forgive me. I recently spoke with Jeanne, Katie Dougherty, then Amber about this. In short: please upgrade clients' signup/data entry process to be slightly more "on rails." The attached image shows what I and thousands of other therapists need to explain to clients entering data. After they enter the absolute basic data, they fail to notice the tab atop the interface asking for Insurance ... and only because the green "Save" button appears like the next step more than completing as much as they can. Please simply consider swapping the "Save" button for a "Next" button that takes them to the next data entry page. That would save thousands of therapists thousands of thousands of hours. Thank you!!!

I agree with Carrie’s suggestion to pull that tab out of the banner and add it to be accessible like the calendar. My clients are not finding this tab even with detailed instructions. I think it would make more sense if it were incorporated in the registration process. My clients are able to access everything else except the insurance despite my isntructions. I have added it myself on my intake forms but then this is an additional step I have to take and it takes additional time and sometimes it is forgotten in the business of the day. I would appreciate improvements in this area as my only real complaint with an otherwise awesome TheraNest!!

Just as the demographic page is prompted when setting up the client portal, it would be helpful for the insurance information page to do the same.

YES! We are having clients not fill out things like address, insurance, date of birth etc - and often this isn't caught until we try to submit a claim and find missing information. Anything required to bill insurance should be required - address, phone #s, date of birth and then if insurance is selected - member id number should be required as well as insured's info. Other insurance fields do not need to be visible to clients as they are just confusing and likely turn clients away from filling out their insurance.

Somehow a recent change in the client portal leads clients to no longer fill out their demographics, causing significant more work on the backend for the therapist, some demographics should be mandatory such as phone number, email, name, address and emergency contact.

Can you please make it possible for users to require that patients fill out certain demographic and insurance information so that these items are not skipped during their process of creating a profile in the portal?

The system is currently set up so after a new client signs onto the Portal, he/she is required to complete the Demographic Form. However, there should be an setting option so that any required intake forms are mandatory and automatically follow completion of the Demographic form. Many client complete the Demo form, and forget or don't see the message to complete the Intake Forms.

Hey Theranest team, We've been working on using the client portal for our different needs and one feature that would be very helpful to us is to be able to make the "Demographic" information required within the portal, as well as the ability to customize which demographic information is displayed within the portal. Additionally, it would be very helpful if there were a way for clients to upload digital documents via the portal. Thank you!

I even send a detailed instructional email along with my Portal invitation with ACTION REQUIRED as a heading and step-by-step instructions about what to put into the Portal. 9 out of 10 people still don't complete it. And we are such a big practice that I just can't track who has done what and send reminders. I have gotten to the point that I just have hard copies of everything and scan it into their charts but that's time consuming. PLEASE make certain information required before they can logout/move to the next page. And maybe set up a reminder window if they try to log out that they have not completed their registration.

We chronically have incomplete demographic and insurance information on the intake forms. It would be SO helpful to be able to establish a limited number of mandatory fields!

I don’t understand why it’s not possible to make some sections (like insurance information) mandatory

I agree that the client portal is not user friendly. I added demographic and insurance information to my intake forms because so many clients were not completing it. Then I had to enter it manually, decreasing the value of having the client portal. Those who did complete it properly would complain about having to provide that information again in the forms. The whole system needs to be more clear in what clients are to do.

Clients always miss the tab related to billing and insurance information. When they get the e-mail it will guide them to the intake forms but there are no reminders or prompts to go to the billing section. It would be great if theranest could add this feature!

Many clients do not fully populate their accounts in the portal. They do not readily see the navigation bar, and know that they need to enter demographics, including address, date of birth, emergency contacts, insurance information. As a work-around, we amended our intake forms to include these reminders. However, even with the reminder and redirection, they call the office and still indicate these fields are difficult to locate. I would love to see a "required data" prompt that requires them to enter those fields - and directs them to the appropriate places.
