If intaek documents are not completed, I try to send a reminder. If I use the "resend selected forms," they get duplicated in the system, so now it looks like 2 of the same form need to be completed. Then I have to revoke the original forms, which also confuses clients. Allow the "resend" forms to send a reminder, rather than add forms into their Forms tab.
If a client does not complete an intake document, I use the resend option to remind them. However, it creates a duplicate of the intake form, and when they log in, they see 2 of the same form, and think they have to complete them both. I can revoke the other forms, but then they get a message letting them know about the revoked forms, which confuses them.
If resending intake forms, is there an option to add whether "new form is added" or "use existing form" or "delete/remove previously sent forms."
If I am using the "share new forms" a duplicate may be necessary (for example, I may need multiple release of information forms, so there are times I need multiple of the same form). But if I am resending, it's more as a reminder to the client to complete.
It would be nice to get a notification if clients don't sign forms that we sent to them to sign. I would like to be able to identify a date when sending forms and then if clients don't sign the forms before that date I get notified so I can reach out to them to remind them or resend the forms. Or it can connect to the calendar, as it gets close to their scheduled appointment the system sends them a reminder to sign the forms.
It would be so helpful if there was a prompt in the client portal for clients that they are not completed if it hasn't been signed and the submit button clicked. I consistently have clients thinking they finished the consent forms and they are not yet visible on my end.
If there is a prompt that they have not finished or allowing the administrator to view the forms so we can actively see what they have or haven't done prior to them "submitting".
This would be very helpful! And there needs to be a way to alert the client when they PARTIALLY complete the paperwork. It happens to me frequently that some time goes by and I'm waiting for the client to complete the forms - only to find out they filled out the first demographic page and think they're done and don't know to click on the forms tab. Theranest didn't alert me so everyone is waiting for the other! Thank you for considering this helpful feature!!
I don't understand why the only option to remind people of intake forms is to resend them. This tends to be confusing because often people are in the middle of them and now there is a duplicate. If I revoke the old forms, I've erased all of the information that they've already put in. I would like a simple remind button.
100%! Automated reminders to clients for forms both new and re-sends to collect updated paperwork, and notifications sent to staff in case those clients don't fill in their paperwork all the way or don't fill it in at all and it's past due, that way we can reach out at that point and not a million times beforehand. Having to follow-up with a ton of clients who have outdated, partially completed, or no paperwork, is a real time sink when automated reminders could do this for us.
If not this, please add some way to view the status of intake forms from the main client page/tab so it's easier to see who needs to be sent reminders before upcoming appointments, and who we can just skip. Otherwise, you have to go into every single person's file manually and check the date on their recent intake forms. This takes way too much unnecessary time.
I continually run into the problem of new clients not filling custom forms that the practice had to create because there seems to be no other way to direct clients to provide information using existing Theranest tabs like billing and insurance info without having to create custom forms to send to clients, which they are not directed to complete after filling demographic information. The current process is needlessly convoluted, leads to wasted time having to send follow-up communication to clients when they do not complete forms, and needs to be automated more, e.g., adding the option of being able to prompt clients to fill specific forms that are already in your system like billing and insurance and payment info after they have created a login. Additionally, if custom forms have been sent to a client and are not completed, why is there not an automatic email sent to them within a certain span of time before their first appointment to remind them to complete forms? These seem like basic registration system functionality to me.
In addition to reminding the client, it would be helpful to have an alert that can remind us within 24, 48, 72, etc. hours of a client's appointment about whether or not we have recieved the client's intake documents or they have not accessed the client portal. This would really help me keep track of who I need to follow up with, who I need to reschedule, etc.
I would like either an automatic message to go to clients that have not submitted intake forms within x hours of first scheduled appointment. I could also live with a reminder to myself, staff or assigned therapist alerting that intake forms have not been submitted within a time I can specify. We currently have to do this manually.
Here is an idea that would be greatly embraced. Once a new patient is scheduled and invited to the client portal, if they have not signed in the portal by within 48 hours (configurable) of their appointment, Theranest would send us an urgent or red flag e-mail with the choice to send the client another (custom) reminder/warning to join the portal ASAP. All of this would be configurable to our needs. This would eliminate client sessions where we find out at the last minute that "Oh I forgot to do my portal paperwork" and then we have to waste the session doing it for them. Not good for them or us.
This feature is desperately needed! Manual reminders are too time-consuming. An automated intake paperwork reminder that could be customized is needed.
