Add more control of editing and sending calendar/scheduling alert emails sent to clients and groups

I have a very tightly booked schedule and sometimes make mistakes and have to fix something, particularly while making future appointments. I feel this should happen behind the scene until things are right. However, people who are subscribed the portal get notification of everything I do immediately, even it's an error. It's annoying to all of us. I think there should be a way to stop this feature. Currently, if I make an error, I have to delete their text and email address, then make the changes, then put the email and phone number back in. It makes me want to dump the portal altogether. Please add a way for me to have better control of this feature.

    Adding to what has been said, please give us the option of having appointment reminders sent to more than one address. For example, in the case of an adolescent client and the parent who pays. It's usually desirable for BOTH to get the appointment reminder emails.

    Every time we move an appointment, even if it's already marked as cancelled, the client gets an update on moving the appointment as well. Is it necessary?

    The client may not want reminder emails, but may not want to receive email receipts, or just cancellation emails.

    Parent has complained of receiving multiple email notifications when appointments are scheduled, deleted, etc. I feel we should have control over what we would like the clients to see.

    I totally agree! Please change this so that we have the option of what emails clients will receive. Clients don't need to receive emails about every administrative thing that happens.

    I fully agree! EXAMPLE: Clients will call me up and ask, "did you just cancel our appointment? why?" "No, I had to because you and partner are a group and when someone self-schedules they can not schedule a couples session because that is a group appointment, which only I am able to schedule" "But I selected the telehealth conjoint session selection" "I understand however, ...." VERY frustrating.

    I fully agree with others who want complete control over what is sent to clients via email. We’d like to use the portal, but as it is now it’s useless for communication so clients do not also receive appointment reminders.

    Please stop sending automatic emails about anything. I need complete control over what gets sent. I can't correct errors, redo the appointments, etc without confusing emails going out. This must become customizable.

    Please allow more options when selecting when clients are emailed notifications. Specifically, we want clients to receive email notifications when we send them portal messages BUT do not want them to receive email notifications every time we adjust the appointment (some times there are clerical errors in the appt, and each time the client gets notified which creates confusion).

    It appears every time I move or adjust or modify an appointment it automatically sends a notification before I finish finalizing the schedule. A lot of time i end up shuffling appointments visually to see how I can make it work. Doing this fills up my clients email box with notifications which can be confusing for the clients

    I agree. It is VERY easy to accidentally move an appointment box or make an error. A client should only receive an email once it is confirmed by me in some way . This has been such a hassle and caused confusion for me and my clients. I really am considering switching to another Electronic System because of this.

    Our group practice totally agrees. This is a cumbersome and unnecessary feature, and cause us to spam our clients and frankly is not clinically sound and certainly not professional. The "work around" is silly and unreasonable. Client do not need to receive an email notice of cancellation, period. That is done through other means, To cancel with email as the only communication would be unheard of from a therapist. This feature makes the whole system seems amateurish.

    Please STOP sending notifications to clients when I schedule their appointment. This is happening when I have not enabled appointment reminders. I do NOT want the client to be notified when I schedule their appointment until I send the email myself. Recently, when I have scheduled appointments, Theranest is automatically sending the client an email with the title: "New Appointment with Sara Abadie." The way I manage my practice and appointments, this is only causing mass confusion with my clients. I have contacted customer support who tell me there is no way to turn this feature off.

    I am very frustrated with the way my clients will get a notice when I make a move on the calendar. This has caused a great deal of confusion. It is not fun to have to change client preferences in order for this not to happen. This is not just a "simple flaw" for us subscribers. It seems this should have been addressed years ago. I hope your team is looking at ways to fix this and make it easier for us. It is confusing our clients and us. I see I am not the only one dealing with this and yet it continues to be an issue.

    I see this has been a problem for 2 years now. I think it is a big flaw in the system because if our clients are flooded with emails, they'll disable email completely, meaning they will no longer get email notifications about messages we send to them via the client portal. How will they know, then, that they have a message in their client portal? I agree with other comments that it is often that we may move around an appointment, or do so in error, then we may fix it, and for a client to get a notification every time a change is made is a complete nuisance. Please make it so client can choose to 1) Not be notified when APPOINTMENTS are made or changed but 2) Be notified when they get a MESSAGE in their client portal and 3) Be notified with appointment reminders. These are three separate actions.

    When entering in an appointment, it would be nice if it asked if we wanted to send an email to the client. Same does for if we make any changes to the appointment. sometimes the changes are so minor that the client does NOT need to be alerted when a change is made. (CPT type, Staff, TeleHealth change, ect) The client already knows what type of appointment that they made or who they have made it with. Sending automatic emails means they are being bombarded with unnecessary emails that are causing confusion.

    This is a big problem! Clients should not be notified automatically of schedule changes! It is confusing for them and adds extra work in having to clarify their confusion when schedule changes are because of clerical errors rather than an actual meeting change (which is much more common). If I have to delete a calendar event for any reason (for example, because a group event didn't have a new member added to the group before it was scheduled and needs to be deleted and recreated with the correct members), clients get a notification that the meeting is cancelled. Please add an option for the clinician to disable event notifications for clients with a portal account. This is a basic function that should be added right away.
