Block unconfirmed appointments on the calendar until confirmed/declined
Automatically block off time on the calendar when a client requests a new appointment until you confirm or deny the request. As it is, multiple clients can request the same time.
It would be really nice to see clients unconfirmed appointments in calendar view in a different color (to differentiate them from confirmed appointments) with the option to confirm or decline directly from the calendar page. Currently, I have to toggle back and forth between requested appointments and my calendar to see if I want to confirm or decline the request. If I could visually see these requests in my calendar it would be so helpful!
Self scheduling allows multiple clients to request the same or overlapping times. Also climay not request an appointment with enough time available (i.e. request a 60 min appointment in a 30 min slot). Adding a calendar to the unconfirmed appointment page will make it easier so staff won’t have to flip back & forth. between pages
It would be nice if there was an auto reply option for duplicate apt time requests. Instead of me having to type in "This appointment time has been taken, Please select an alternate day/time to schedule your appointment" if a similar message could appear! Or maybe have this as default with an option of "other" where the clinician could type something more personal. It would save us time at least several times a week. Minutes add up! Thank You!
If you could make it so if a client schedules a session online and then the therapist has to either approve or decline those sessions have if that particular time slot is open on our calendars on that same page for us to view so we do not have to go through our calendar and check then back to the approval screen. Maybe make it so the words are in red if that time slot is already taken on our calendars?
When clients request an appointment, show it and allow us to confirm directly on the calendar. Could be a special color to designate it's unconfirmed, but would be nice not to have to go back and forth between the calendar and appointment requests to see if you can confirm those.
Create an appointment on the calendar when someone requests that time slot. Indicating the appointment is requested and allow for appointment confirmation in the scheduling window.
I cannot believe this has been a requested feature for years and hasn’t been implemented. I’ve never used a platform that didn’t do this. It’s really embarrassing and inconvenient to have two people request the same time slot and then have to tell one of them it’s not actually available even though it showed that it was.
When a client requests an appointment, have the system block that time slot until the appointment is confirmed or declined by the therapist. That way, there are no duplicate requests for the same time slot by different clients.
If my staff schedule an appointment in a time slot that has already been requested by a client via the client portal but has not been approved, there is no way for either party to see that the time slot is no longer available or awaiting approval. There needs to be some sort of flag or notification on the calendar or in the approval screen that says the time slot is pending or that it has already been taken.
Have an easy way to view appointment requests alongside the calendar, so we can quickly see whether or not we can accept the appointment without clicking clicking between screens.
Not allowing a 2nd person to make an appointment when the time slot has yet to be confirmed. This is a problem when 3-4 people as for the same time and I have yet been able to confirm. I have to let each one know its not available and they get upset. PLEASE do away with this!
When I get an email indicating that a client has requested an appointment, it would be very helpful if it took me directly to a screen that shows the availability for that day. It is an extra step to jump around looking for that date and then confirming.
It would be so helpful if a our admin staff could approve/deny appointment requests for our therapists or view pending appointment requests for providers. We've had some unfortunate situations where a provider missed the notification so another client called our office and we scheduled during that requested time.
This is the most challenging part of the program. 2 client's asking for the same time. I have had clients take it personal thinking I choose someone over them. Once a client attempts to take a spot it should show it as pending.
Please if this can be done! I have multiple clients asking for a time that appears open. I have to let the other person know that time is no longer available. Then they are frustrated because other times are no longer available. I have had client's who have taken it personal thinking I choose another client over them because I preferred them. I just pick from the top as their is no date stamp. Please change this!
It would be great to see the calendar in the unconfirmed appointment window. To approve a meeting I need to go to the calendar to see what is there before I can approve it.
If a client requests an appointment, that time slot would show up on the calendar as unavailable so that I don't get multiple requests for thr same time slot.
