Turn off automatic "Kept" appointment status change
Allow me to turn off the feature that automatically changes an appointment to "Kept" when the appointment time is reached. We want our schedulers/providers to update the status manually.

A new setting under your organization's Profile will prevent appointments from automatically being changed to 'Kept' when the appointment time is reached.
Do not do this. it would be such a pain as a cliniican to go back to all the ones that are kept, much easier if we just have to change it if it is not kept for us.
I echo the previous comments and request that this be changed so that we have to mark it as kept and NOT have it happen automatically. If we go to bill appointments before a therapist has noticed that an appointment was marked kept, we end up billing for appointments that never happened. Getting this changed with the insurers is then HUGE pain! PLEASE, PLEASE, PLEASE change this feature!!!! Thank you!
I would like to recommend a change! Theranest automatically marks appointments as kept once the hour hits, regardless of if the appointment actually occurred or not in reality.
We think it would be better if you had to manually adjust all appointments to Kept, canceled, no show, or late cancel.
Recently found out that the Edit Status will be set to "KEPT" if it is NOT manually updated by a provider/team member. However, can we have this automatically update to something along the lines of "NEEDS ACTION" or "UPDATE" or something that notifies said clinician/provider/team member to take action on such item. This is an internal struggle within our practice that we are working on, however, due to automatic billing/ our billing processes, and others how they process their own, I am finding that I'm having to go back and fix claims that are submitted because they were in fact NOT KEPT.
It would be very helpful if the appointment status did not automatically change from upcoming to kept. We've had a few clinicians that have failed to change the status to cancelled and the billing team then billed the insurance and now we are jumping through hoops to get the accounts fixed to accurately reflect what happened.
Additionally to other folk's comments below, I find that when I change an appointment to late cancel or no show, it often gets changed again back to kept! Occasionally I have to fix this twice before the end of the day. This is super frustrating and can cause significant billing problems. Please fix this feature.
Be able to have appointment status stay at upcoming unless changed by staff rather that automatically to kept. When Clients are a couple minutes late and it changes to kept, they no longer see the appointment listed to be able to sign into for telehealth. It is frustrating to have to keep refreshing the page to put the status back to upcoming.

On the agenda is there a way to make the sessions NOT automatically change to KEPT in green? This way our providers can check them in appropriately once they have physically arrived for their session? We have had issues where they forget to change the appt. status.
It would be helpful for the receptionist to have the option to "check" clients in. We have clinicians walking up to the front as the status of the appointment says "kept" even though the client has not arrived yet. It is a confusing feature for the calendar as well as the client portal when a client is attempting to join the telehealth session.
The system is configured to "assume" that an appointment has been kept. In telehealth delivery, we don't have a sign -in sheet at the desk that helps us to reconcile this. It might be better presumed "Kept" if a Progress Note is created.
A prompt that appears requesting the user to state the status of a session may perhaps be helpful as well.
We've had to add a "Checked In" service type to workaround the unreliability of the "Kept" status. Our billing person has to reconcile this with the Detailed Attendance data.
As a smaller, lean business, without this feature, it makes invoicing and payroll terribly inconvenient in theranest. I have to double-check with providers, who are off-site, to confirm each day with every client if their client actually did keep appointment, or did not. I would like to have the default as blank, or if a status has to be chosen, 'upcoming' until the provider changes it. This helps us ensure we are in compliance and for accounting purposes.
This is something that desperately needs to addressed. It causes major frustration and confusion for both in office appointments and TeleHealth appointments. In office therapist are thinking their clients have checked in and then cant find them and for TeleHealth if the client logs on at the hour it has already switched it to kept and they have to go find it in the kept tab in the client portal. Many of our clients have a large amount of past appointments so they have to short through several pages before they find their appointment. We receive a high volume of panicked calls (during an already stressful period of time) telling us they cant find their appointment or that its not working because they join the following weeks appointment vs the current appointment. Accessing their appointments should NOT cause more stress and anxiety. Please find time to address this issue, its clearly a problem for many others too.
